Wedding Welcome, Card & Gift Tables: A Rental Checklist

Plan an easy-to-find welcome and gift display with the right rental pieces, personal materials, table dimensions, and end-of-night handoffs.

For Cincinnati and Northern Kentucky weddings, use this checklist to connect your décor ideas with the actual venue, rental pieces, and service plan.

Give arriving guests a clear first stop

A welcome, guest book, card, or gift display should be easy to find without blocking the entrance. Begin with what guests need to do when they arrive, then decide whether one table can serve those tasks or whether separate locations will work better.

Ask your venue about arrival traffic, accessibility, available tables, and the best location for cards and gifts. A display that looks attractive in an empty room may become a bottleneck once several people stop together.

Choose only the pieces the display needs

  • A welcome sign or approved display near the arrival route.
  • A guest book and the writing materials or accessories you supply.
  • A card box or holder with dimensions and access suited to your plan.
  • Space for gifts if guests are expected to bring them.
  • A small number of coordinated décor accents rather than a crowded tabletop.

Separate rentals from personal materials

A card box, frame, easel, shelf, or sign stand is different from personalized printing, a guest book, pens, photographs, or fresh florals. Review the product details and record which supplier provides each component. Do not assume a styled gallery display is one complete rental.

If the venue supplies a table, measure it before selecting linens and display pieces. If you need a rental table or linen, check the event-rental side separately; a décor list should not imply furniture is included.

Assign responsibility for cards and personal items

Name a trusted person to look after cards and gifts during the event and to remove them at the end. A decorative card container is not a guarantee of secure storage or monitoring. Agree any venue guidance for the location and handoff.

Personal photographs, guest books, envelopes, and gifts need their own collection plan. Keep that separate from the team collecting the rental décor so nothing important is left among packing materials.

Plan setup and the final handoff

Share a simple photo or layout with whoever places the display. Confirm whether that work is part of your selected service and where personal materials will be waiting. If the sign moves from ceremony to reception, identify the responsible team and timing.

Browse the catalog for actual dimensions and finishes, then compare your quantities with individual rentals or the package scope. A clear, uncluttered display often needs fewer pieces than the first inspiration list suggests.

Turn your plan into a rental list

Explore the décor rental catalog for current items and compare package and service options. Ask our team about your date and any venue restrictions before committing to pieces that need special handling.

Building a décor list does not confirm a reservation. Review the selected package or individual rentals, service level, agreement, and required payment before booking.
