Wedding Candle & Lantern Rentals: Venue Rules and Planning
Plan candle holders and lanterns by checking venue flame rules, included components, quantities, placement, and your décor rental service scope.
For Cincinnati and Northern Kentucky weddings, use this checklist to connect your décor ideas with the actual venue, rental pieces, and service plan.
Check the venue’s candle rules first
Before choosing candle holders or lantern rentals for a wedding, ask the venue what lighting is permitted. Some spaces restrict open flames, require enclosed flames, or require battery-operated options. The rule for your event should come from your venue, not a photograph of a different wedding.
Then compare the look you want with the work required to create it. A tabletop arrangement needs space for dining and safe handling, not only an attractive close-up photograph.
Separate the holder from the light source
A lantern, cylinder, votive holder, or other décor rental may not include candles, batteries, florals, or other styling pieces. Read the item details and confirm the selected package. If a light source is separate, check the dimensions and approved use before sourcing it.
Battery-operated options can avoid an open flame, but you still need a plan for batteries, switches, runtime, and collection. Do not assume a rental item is intended for a real flame just because it resembles a candle holder.
Plan quantities by complete arrangement
Count how many holders and light sources belong in each arrangement, then multiply by the number of tables using that design. List sweetheart-table, entry, memory-table, and ceremony accents separately rather than automatically applying the guest-table count.
Make one mockup with a table number and place setting. Check sightlines, stability, and how the centerpiece sits beside plates, glassware, and shared food. Leave enough working space for the catering team.
Confirm placement and handling
- Get venue approval for the intended holder, light source, and location.
- Check how candles or battery lights may be used with the specific rental.
- Keep arrangements clear of the venue’s required access routes and restricted areas.
- Assign who places, switches on or lights, monitors as needed, and collects the pieces.
- Follow the agreed cleaning and packing instructions; do not improvise attachments or alter the rental.
Choose the service level that matches the plan
Customer pickup, delivery/pickup, and setup/teardown involve different responsibilities. Confirm whether placing and collecting the selected lighting décor is within your agreed scope. Personal candles or batteries should not be treated as included without checking.
Browse the actual catalog pieces and bring your venue’s restrictions to our team before booking. Gallery styling can help you explain the look, while item details establish what you are reserving.
Turn your plan into a rental list
Explore the décor rental catalog for current items and compare package and service options. Ask our team about your date and any venue restrictions before committing to pieces that need special handling.
Building a décor list does not confirm a reservation. Review the selected package or individual rentals, service level, agreement, and required payment before booking.
