Start with the floor plan

Your rental list should follow the venue layout, not the other way around. Before booking tables, chairs, linens, and a dance floor, confirm guest count, ceremony seating, reception seating, buffet or plated meal style, bar placement, and the entertainment area.

Core rental checklist

Guest tables and head table or sweetheart table
Reception chairs and ceremony chairs if different
Linens for guest tables, food tables, cake, gifts, and memorial tables
Napkins if you want color or texture at each place setting
Dance floor size and placement
Delivery, setup, teardown, and pickup timing

Common misses
